How do I submit a staff on-boarding or off-boarding form?
When a new employee begins, there are a variety of behind the scenes steps that are taken in order to get new accounts, services and devices set up. Similarly, when an employee is leaving your organization, steps must be taken to deactivate their accounts. To make things easy for you, we have created school staff on-boarding and off-boarding forms. When filled out, these forms will notify us of any actions that need to be taken on our end.
When you have a staff member starting or ending their employment, follow these steps to fill out the on-boarding or off-boarding forms.

How to submit a staff on-boarding form:
- Find the form here: School Staff On-Boarding Form
- Enter YOUR email address and name.
- Ensure you select the appropriate staff role.
- Enter the first and last name of the new staff member, desired email address you'd like created, start date, area of responsibility, and any notes you'd like to share.
- If you provide a personal email address for the incoming staff member, we can send their school Google account information directly to them. When we email them their info, we'll be sure to CC you so you know that they have it!
- If you'd like your incoming staff member's account created (and info sent) prior to their actual start date, you can choose a desired date in the 'alternate account creation date' field.
How to submit a staff off-boarding form:
- Find the form here: School Staff Off-Boarding Form
- Enter YOUR email address and name.
- Enter the first and last name of the departing staff member, and their email address.
- Ensure you select an accurate departing date of the employee as accounts will typically be deactivated after 4:30pm of your chosen date.
- If applicable, you can choose an alternate deactivation date for your outgoing staff member's accounts. This can be useful if your staff member still needs to migrate content to a personal account, wrap up some final projects, or send out some 'goodbye' emails.
- If applicable, share the email address of the current user you'd like to have the former staff member's Google account transferred to.
- If applicable, list an email (or group) where future messages sent to this employee should be directed.
